The project management is defined as the group of processes performed to achieve specified goals. It is the application of the knowledge, skills, tools and techniques in the project activities for meeting the tasks.
- Knowledge: Knowledge is basically acquired through the education. Knowledge is also gained in performing the assignments for the organization.
- Skills: Skills are the abilities arising from the talents, trainings or practices. The consistent application of trainings and practices is required in the project management.
- Tools: Tools are the devices that are used for carrying out the activities in the organization. Some commonly used tools in the project management are Microsoft word, Excel spreadsheet, softwares, that are accessible through internet, and many more that we will discuss later in this article.
- Techniques: Techniques are the methodologies and processes used to carry out tasks in the project management.
A good project management can have a great impact on the organization for completing the projects in a timely manner. There are various ways to improve the project management performance. It is, however, difficult to identify the best way to improve the project performance.
Some of the ways to improve the project management performance are:
- Dashboards: Dashboards are the software applications that help in tracking and collecting the data, since they are generated throughout the various operating areas if the organization. The data related to production, sales, financial and all important data are presented in graphs or charts, that makes interpretation and calculations easier. This is further helpful in making more accurate forecasts and decision making.
- Whiteboards: Whiteboards are kind of like a centralized hub or digital environment, where every member of the project team can make their own notes and offer ideas.
- E-mail alerts: A project can be a failure, if there is a communication breakdown. E-mail alerts is very significant in the project management, because it notifies the entire members of the project team immediately whenever any members modifies the project or makes changes to any information in the system.
- Groups: A team can be broken down into groups and individual tasks are assigned to each individual. The project is successful when multiple groups are created and each of them focuses to achieve the specific goal.
- Task management: Each small project comprises of multiple tasks. The breakdown of the project into tasks and sub-tasks can have a huge impact on how efficiently the team is performing.
- Gantt charts: The project managers makes use of Gantt charts to monitor the projects. Gantt charts are the bar charts which illustrate project schedules representing the tasks and the time span for the completion of the tasks. Gantt charts have two axis; one is horizontal and the other is vertical. The horizontal axis represents the total time that is required for the completion of the projects. The vertical axis represents the different tasks required to complete the projects. The project managers can closely monitor, if there are some tasks that are taking longer to finish or has been completed ahead of the schedule, and accordingly the subsequent activities can be planned.
- Web-based application: The web-based application is an online software and an innovative solution to today’s project managing needs. It allows the entire project team to work together on the same project, irrespective of different locations. The project managers can easily track the status of the project team and help them in preparing a better budget time in future.
The project manager has to meet the performance expectations that have been identified during the strategic planning process and should constantly ensure that they deliver the desired result, by improving the project team’s performance.
